RESERVING/BOOKING CLASSES: Clients are solely responsible for the booking and cancelling of their classes. Clients may reserve class spots through the GymDesk application. From the GymDesk app, click on the “Book” button, click on the class you want to register for, and click “book”. Accept the terms and click the confirm button.
You may book up to 3 days in advance. We accept 40 reservations per class and your reservation GUARANTEES you a spot in class. There are no walk-ins, everyone must book their class. Making a reservation for a space in class holds you accountable to yourself (and the instructor)! Think of it as making an appointment for a fitness meeting with your body!
CHECKING-IN: Clients are required to enter their scheduled class no later than 10 minutes after the scheduled start time. If a client does not enter their classroom by this time, it is considered a no-show and Trifecta Fitness reserves the right to assign the spot to another person on the waitlist, as well as charge a no-show/LATE fee (detailed below). Why? We want to avoid injury, class disruption, and ensure that all participants have an excellent class experience.
CLASS CANCELLATION: Reservations may be cancelled without penalty by cancelling up to 2 hours prior to the class start time. This may be done with the GymDesk app. When the class is cancelled within this time the client will not be considered Late or “no-show” and there is no cancellation fee.
Cancellations via electronic mail (email), Facebook messenger, Instagram or other social media, voice message, text message are not valid and the member will be charged when not cancelled timely.
If you do not cancel within the 2-hour window and fail to show up to class, a late-cancel fee of $7 will be charged to your account after 3 No-show or LATE occurrences. Being more than 10 minutes late to class constitutes an absence and will also count as a no-show.
The no-show and late-cancel fees apply to ALL clients equally, even if the class is not at capacity.
If you book multiple classes, or waitlist multiple classes, you are solely responsible for cancelling your classes within the bounds of the cancellation policy outlined above. Trifecta Fitness staff cannot be held responsible for accidental bookings by clients, double bookings, or double waitlisted classes made by members. Late-cancel and no-show fees apply if you do not cancel within the bounds of the cancellation policy for double bookings.
To cancel your class reservation, please go to the GymDesk App, find the desired class, click on the red X box underneath “booked” and then confirm the cancellation.
WAITLIST: In the event a scheduled class is booked to capacity, you may place yourself on the waitlist for the class. If you add yourself to a waitlist, YOU are solely responsible for managing your bookings and for cancelling your classes within the bounds of the cancellation policy. The system will auto-populate clients into class from the waitlist as soon as other clients with confirmed spots cancel, and class slots will be assigned as such. A notification email will be sent when you have made it into the class. Trifecta Fitness staff cannot move class slots for clients in classes that are completely full. IMPORTANT: If you no longer want a spot in the class, you need to remove yourself from the class waitlist more than 2 hours in advance of the class start time. If you are added to the class and fail to remove yourself, you will be considered a No show, and a $7.00 fee will be charged.
Please refrain from using your phone during class as it is distracting to other clients and potentially unsafe. We understand there are emergencies and sweaty selfies of course, but in general we need folks to be off their phones.
We understand it can be hard to get to class and sometimes you need to leave early. No problem! But if you’re late, and there’s a waitlist, that’s where things get dicey. You must be in class 10 minutes after class start or else your spot can go to someone on the waitlist client. This will allow the class to run smoothly without interruption.
If you are leaving early, please grab a spot near the door, to provide as minimal interruption to other clients as possible.
We want you to have the best experience possible at Trifecta Fitness, so we’ve established a few class guidelines.
We strive to uphold a family-oriented environment. As such, we expect proper and respectful conduct on our premises at all times. We do not permit disrespectful conduct toward our members, guests, employees (“Team Members”), vendors, or property, including but not limited to: vulgar, profane, indecent, offensive, violent, hostile, aggressive, threatening, harassing, stalking, fraudulent, or other inappropriate conduct or communications.
If you are injured while on the premises, please seek immediate assistance from a Trifecta Fitness Team Member. A Team Member can provide or arrange for appropriate medical assistance and complete an incident report. Trifecta Fitness is not responsible for, nor will we consider reimbursement of member medical costs, including, but not limited to charges a member may incur for emergency response services, ambulance, etc., in the case of a member medical event or emergency that occurs in the center or at our events.
You may not damage the Gym in any way, including but not limited to any damage to, or theft of, exercise equipment, towels, supplies, or other center property. If you, or a guest on your membership damages the center, you are liable and must pay for the damage caused and your membership may be terminated.
No children are permitted in the studio unless they are a paying participant in the class. We do welcome children ages 13 and up, as long as they can safely participate in our boot camp classes.
Unless expressly authorized by Trifecta Fitness, you may not solicit-whether in person or in writing-any members, guests, or Team Members on the premises or during off-premises events, including but not limited to solicitations for political or religious purposes, media interviews, business opportunities, or competitive products or services.
You may not use, smell of, possess, or sell any illegal drug on the premises, including but not limited to anabolic steroids or other illegal growth-enhancing substances. You may not use our equipment, services, or programs while under the influence of illegal drugs. You should not use, or should stop using, any equipment, service, or program if your prescription medication adversely impacts or influences your ability to safely use our equipment or participate in our programming.
You may not smoke, chew, or use any other tobacco or electronic cigarette products on Trifecta Fitness premises including any outdoor areas (e.g., sidewalks or parking lot), or at Trifecta Fitness’ events.
You hereby grant Trifecta Fitness, its representatives, employees, or agents the right to take photographs and video footage of you and your property while at Trifecta Fitness and to use and publish these photos or videos in print and/or electronically. You agree that Trifecta Fitness may use photographs or video footage of you with or without your name for any lawful purpose, including for such purposes as publicity, illustration, advertising, and web content.
Members may put their membership on hold, in one-month increments, for up to three (3) calendar months. A fee of $15 will be charged per processed freeze request. Notice of intent to freeze your account must be submitted to Trifecta Fitness via email to Trif3ctafitn3ss@gmail.com no less than seven (7) business days prior to the freeze date. The freeze request must state both the freeze start date and reactivation date. Members who provide insufficient notice cannot be guaranteed a timely stop on billing. Members will not be billed for membership during the freeze months. Billing will resume automatically upon end of freeze month(s). NOTE for members with Paid in Full Memberships: The terms of your membership will be extended by the amount of time membership is frozen.
You agree that if you require a hold longer than (3) calendar months, then you will be required to cancel your contract and will need to re-enroll at prevailing membership rates (plus enrollment fees) - unless you’re able to provide a doctor’s note. You further Agree, that If you place your membership on Hold and then wish to Cancel rather than re-activate; you will still need to provide the required 30-day Notice to cancel PLUS there is a $75.00 cancellation fee if cancelling before a 12-month Period from the date of enrollment (no cancellation fee when cancelling after 12 months). To Cancel after a Hold, you understand that you will need to re-activate for 30 days to satisfy the 30-day notice requirement and be subject to the $75.00 cancelling fee if you have not been a member for at least 12 months.
You may cancel your Membership Agreement at any time. You must provide Trifecta Fitness with a written 30-day notice via email. Failure to provide timely notice will result in a charge for the full amount of your next billing payment. The cancellation will take affect the subsequent month. Month to Month Memberships cancelling prior to 12 months, will have a $75.00 cancellation fee.
If, at the time of receipt of your cancellation notice, you have outstanding payments owed to Trifecta Fitness, these payments must be made in full in order for the Membership Agreement to be considered cancelled. In the event that you fail to pay outstanding amounts owed, your membership will be considered suspended, the Membership Agreement will not be cancelled, and Trifecta Fitness reserves the right to pursue additional avenues or means to receive monies owed.
This Membership Agreement may be cancelled upon receipt of written notice via email; in the event of (1) the death or disability of the member, and the member is unable to receive all of Trifecta Fitness’ services which the member has contracted. The member, or the member’s estate, shall be relieved from obligation of making payment for services other than those received or obligated prior to the death or onset of the disability (subject to the signed doctor’s note regarding the nature of the disability); and (2) the member moves further than thirty (30) miles from Trifecta Fitness. The member shall provide proof of new residence.
All Cancellation requests must be in writing sent via email to trif3ctafitn3ss@gmail.com. You understand that you will need to provide a 30-day written notice prior to the next billing cycle, you further understand that you may still have payment(s) drafted after the written cancellation notice. You understand that your membership is not cancelled until you receive written confirmation response to your request via email from Trifecta Fitness. You agree that If you put your membership on a Hold, you’re still required to give a 30 day notice if you decide to Cancel after a Freeze; This means your membership will be required to activate and to give a 30-day written notice to cancel the membership, therefore, one more payment will be drafted before the cancellation takes effect once given the 30 day written notice. You also understand that ALL Paid in Full memberships are non-cancelable and non-refundable for any circumstance. ALL CANCELLATION REQUESTS MUST BE IN WRITTING VIA EMAIL - NO EXCEPTIONS!
Cancellation FEE:
For Month-to-Month memberships: you understand and agree that you will be charged a $75.00 cancellation fee when cancelling prior to 12 months from the date of enrollment (no cancelling fee when cancelling after 12 months). In addition, you agree that you must provide a 30-day written notice to Cancel your membership - via email to trif3ctafitn3ss@gmail.com.
